Setting up a large-scale event

Planning for large groups

Running Neegma for 100+ people is straightforward when you prepare in advance. This guide covers the key decisions and common pitfalls.

Before the event

Test your screen setup

Run through the full setup at least 30 minutes before the event. Check:

  • Screen resolution is clear from the back of the room
  • Projector or TV brightness is high enough for the lighting
  • Your laptop stays plugged in (streaming the session drains battery)

Brief your co-host or MC

If someone else is facilitating, walk them through the host controls before the event starts. The host interface is simple, but familiarity helps under pressure.

Player onboarding

QR code display

Display the QR code prominently at the start. Put it on:

  • The main screen before the game starts
  • Printed cards on tables for seated events

Name convention

For teams events, brief players on which team they're on before they join — this avoids confusion in the lobby.

During the event

  • Start with a warm-up game — something simple and fast to get people comfortable
  • Pause between games — give people 60 seconds to refresh drinks, discuss results, and reset
  • Keep rounds short — attention spans drop fast in large groups. 10 to 15 questions per game is a good ceiling

Fallback plan

If something goes wrong with the shared screen:

  1. Reload the Neegma host page — the session persists
  2. Switch to a backup laptop if available
  3. Players do not need to rejoin — their connection is maintained for a few minutes during interruptions

After the event

Download the session summary from your dashboard. It includes scores, participation rates, and a breakdown by game. Enterprise plans include advanced export options.
